Please review Zoom support information and technical requirements. Use this form to schedule a one-time committee/group meeting in Zoom. Contact your staff liaison directly if you wish to schedule a series of recurring meetings in Zoom. Guidelines and Procedures 91´«Ã½Online Meeting Guidelines Plan your meeting in 30-minute increments, up to 90 minutes in duration. If your committee/group needs to meet for longer than 90 minutes, then please contact your staff liaison. Meeting times are subject to availability of both the platform and PLA staff, so please request meetings times as far in advance as possible and preferably at least two weeks in advance. If possible, meetings should begin and end between 9:00 AM and 5:00 PM Central. Prior to the meeting, the chair/moderator can request an orientation/training session regarding Zoom meeting features: Audio Chat Screen sharing Annotation White board Recording Scheduling and Meeting Procedures Confirm at least one, and up to three, possible meeting times with your committee/group. Complete and submit the scheduling form; asterisk (*) indicates required field: Committee/group name (dropdown list)* Meeting topic* Chair/moderator name* Chair/moderator contact info (email and phone)* Staff liaison or primary contact (dropdown list)* Date/start time/duration (up to three choices)* Special requests or instructions (if necessary) Meeting will be scheduled and confirmed a.s.a.p. during regular business hours, and a Zoom link will be provided to chair/moderator. It's the responsibility of the chair/moderator to distribute the meeting's Zoom link to their committee members, etc. PLA staff will start the meeting 10–15 minutes prior to the official start time and act as Zoom host. PLA staff can provide technical support during the meetings and, if needed, also provide participants a quick overview of Zoom functionality at the beginning of the meeting. We recommend the chair/moderator join the meeting 5–10 minutes prior to the official start time to coordinate with PLA staff. Ready to schedule your meeting?
